We feel it is imperative to stay involved in your planning, so we hesitate calling ourselves month-of-coordinators! Our work begins much earlier than the month of your day. We include a total of 4 meetings in our package (two of which are telephone meetings to discuss your planning progress) and two of which are in-person meetings to discuss all of the logistical details of your wedding. We use this information to build your wedding day schedule and create a list of everyone involved. The fourth and final meeting takes place at your venue 2 week out to discuss the final layout and design of your wedding.
We created a detailed timeline of all of the activities that will take place during your wedding. We create a master vendor list and wedding party list. We review your vendor contracts to double-check everything. We make sure your vendor contracts coincide with your timeline. We liaise with your vendors starting two weeks before the wedding to ensure arrival times. We assist in ordering linens. We work with you to create a venue layout that will ensure the best function and flow for your wedding.
We conduct your wedding rehearsal. This includes instruction on family seating, wedding party processional, ceremony and the recessional. We provide helpful tips and suggestions for ensuring your ceremony photographs are flawless. We make announcements for you so your wedding party and family know when to arrive and what to do!
We set up your ceremony flowers and decor. We greet the DJ/musicians and show them to their correct space so they can set up and perform their sound check. We greet the florist, photographer, and other key vendors that are starting to arrive. We pin corsages, boutonnieres and bring your bouquets to you. We line up the wedding party and family. We greet your guests and help with any questions. We make sure rings are with the correct persons and ensure written vows are in your pocket. We cue the musicians for the timing of your processional music. We ensure the officiant and witnesses sign the marriage license. We relocate items from the ceremony site to the reception site and pack up ceremony items as designated.....and all of details in between.
We arrive early to decorate. We place your linens, decor, centerpieces, candles, place cards, table seating charts, and other items on your guest tables and specialty tables. We ensure the reception site is set up properly and all vendors are in place. We keep your event timeline flowing as guests are shown to cocktail hour while your photographer has the full attention of you and your family and wedding party after the ceremony. We liaise with your vendors beginning with monitoring their arrival. We review scripts and cue DJ for announcements and reception activities. We coordinate the grand entrance of the wedding party, and bride and groom. We pass out your sendoff items and line up guests for your sendoff. Rest assured we keep your event flowing throughout the evening!
After the reception, we assist in the breakdown of the linens, centerpieces and decor. We handout final vendor payments. We supervise the collection of all gifts, bridal memorabilia, supplies, bouquets, and ensure that all items are loaded into designated vehicles. We box the leftover cake and unused beverages. We ensure that your breakdown is complete.
